Administrative Coordinator

Reports To:  Director of Programs and Operations
Location:                  Los Angeles, CA
FLSA Status:          Full time, Exempt                         Travel Required: Minimal



Exciting opportunity to join a growing and fast-paced non-profit organization supporting the Director of Programs and Operations (DPO) in all aspects of management, including operations, events, programs, finances, social media, and fundraising. Ideal candidate is a flexible team player with strong communication skills who rolls with the punches and is willing to do any task, big or small. Must have 1+ years of non-profit management experience. Knowledge of graphic design, video production, and video editing strongly preferred. Must have a positive attitude and a sense of humor.




  • Assist with developing and implementing key initiatives that support CAPE’s mission and fundraising efforts

  • Help manage event pre-production, production, and follow-up

  • Manage logistics for CAPE live events and educational workshops, including researching and securing venues, catering, panelists, volunteers, photographers and/or videographers as needed

  • Manage RSVPs, ticket purchases, guest requests, and inquiries

  • Recruit volunteers and manage volunteer database

  • Create and manage event budget with CAPE staff, including detailed breakdown of event expenses and revenue

  • Coordinate with sponsors or program partners

  • Coordinate with press and PR for event media coverage

Operations and Administration

  • Assist with day-to-day operations

  • Manage volunteers and interns

  • Assist in managing and updating website, social media, marketing, and brand development

  • Increase constituents served and donors via constant contact with the community

  • Help manage office emails (i.e.,

  • Manage all office supplies and needs and maintain office organization


  • Draft, edit, format, and distribute CAPE e-newsletter and corresponding website posts

  • Manage and update CAPE’s Facebook, Twitter, Instagram, Website, and YouTube pages

  • Organize press clippings and mentions about the Organization, CAPE events, the Executive Director, Board members, and staff

  • Archive media assets including event photos and footage

  • Write, proof, and distribute press releases to media outlets

  • Assist in creating, editing, and updating marketing graphics and copy

Donor Services and Development

  • Assist the DPO with maintaining relationships with major sponsors to create meaningful sponsorship opportunities and programming

  • Fulfill sponsorship deliverables, including promotion and recognition of support

  • Manage and update individual donor databases

  • Assist in identifying and maintaining grants


  • Assist in preparing monthly expense reports for Executive Director and staff

  • Assist the DPO with budgets

  • Coordinate the payment of office bills

  • Create and send invoices

  • Work with accountant and bookkeeper on annual taxes and office coding and expenses


  • Works well independently and collaboratively with others

  • Must be able to communicate effectively and sensitively with diverse populations and varied audiences through verbal and written/email correspondence

  • Must possess excellent time management skills and organize work assignments to meet deadlines

  • Should be comfortable with a fast-paced, high-pressure work environment and be able to handle multiple concurrent tasks with constant interruptions

  • Must be a self-starter, detail-oriented, creative, a forward thinker, a problem solver, and intellectually curious

  • Must be enthusiastic and have a positive attitude and sense of humor



  • Bachelors degree required

  • At least 1 year non-profit experience and management

  • Graphic design experience preferred

  • Video production and video editing experience preferred

  • Knowledge of entertainment industry helpful but not required



  • Microsoft Word, Excel, PowerPoint

  • Knowledge of Acrobat, Photoshop, Illustrator, SquareSpace, and Final Cut preferred

  • Knowledge of Salesforce preferred

  • Strong Internet research skills


  • Must be available to work some evenings and weekends

  • Must have access to personal vehicle and maintain valid California driver’s license and minimum required collision and personal injury vehicle coverage

  • Minimum one (1) year commitment

  • Will be required to sign an NDA



  • Salary commensurate with experience

  • Work-related mileage paid, not including daily commute
